HKBU
HKBU’s Academic Registry (AR), Undergraduate Studies Section (UGS), and Taught Postgraduate Studies Section (TPSS) serve different student groups. Choose the unit for the undergraduate, taught-postgraduate, or research-postgraduate record. A Testimonial proves student identity/status, a Transcript is the complete academic record, and a Diploma is the formal graduation document; they are not interchangeable.
Quick jump: Bachelor / undergraduate · Master · Doctoral / research postgraduate
1. Bachelor / undergraduate
Section titled “1. Bachelor / undergraduate”1.1 Transcript
Section titled “1.1 Transcript”- Collection point: Academic Registry, Room 301, 3/F, Madam Chan Wu Wan Kwai School of Continuing Education Tower (SCE Tower), Baptist University Road Campus, Kowloon Tong. Postal or electronic delivery may be available.
- Application and collection: Apply and pay through the current AR academic-record service; some older cohorts or programmes use a paper form. Wait for the issue notice, then collect at AR, authorize a representative, or use the selected delivery method. The 2026 revised official transcript form lists HK$70 per copy and cohort-dependent processing times.
- Materials: Self-collection requires HKID/passport, request number, and notice. A representative needs the signed authorization, applicant ID copy, their original HKID/passport, and the collection record. A transcript not collected within six months of issue may be destroyed.
1.2 Study Proof
Section titled “1.2 Study Proof”- Application: Request a Testimonial to prove current student status, programme, or graduation status; final-year students should check the application stage carefully.
- Collection point and method: Apply online through AR or use the paper route for an eligible old cohort. After the completion notice, collect in Room 301, authorize collection, receive by post, or use the specified electronic route.
- Materials and status: A representative uses the academic-document authorization form with the applicant ID copy and representative ID. For visa or IANG use, confirm whether a standard, IANG, or other specified testimonial is required.
1.3 Testimonial / other certification
Section titled “1.3 Testimonial / other certification”- Documents: Testimonial is study proof. Other academic-record services may include Certified True Copy (CTC); request a Transcript when full subjects and grades are required.
- Application and collection: Apply and pay through the current AR service or paper form, then wait for the notice before collecting at Room 301, authorizing collection, or using post. A standard Testimonial is normally about 4 working days, subject to the current page.
- Special materials: CTC Diploma requires the original Diploma. A representative also needs the applicant ID copy, their ID, and authorization. If an institution must receive the document directly, enter its details when applying.
1.4 CoG / LC (where applicable)
Section titled “1.4 CoG / LC (where applicable)”- HKBU equivalent: HKBU does not use one universal CoG/LC. Use a Testimonial for current status and a Graduation Letter/e-Graduation Letter for the relevant graduation-approval status; the exact name depends on AR/TPSS.
- Application and collection: Apply through the relevant AR/TPSS system. A taught-postgraduate e-Graduation Letter depends on Senate approval and is not the same as a formal Diploma. Collect at the office, by post, electronically, or through an authorized person as instructed.
- Authorization note: Sharing an electronic credential with a recipient does not authorize someone to collect a paper Diploma/CTC. Paper collection still needs the required authorization and IDs.
1.5 Graduation certificate / Award Parchment
Section titled “1.5 Graduation certificate / Award Parchment”- Collection point: The undergraduate paper Diploma is issued by AR at Room 301, 3/F SCE Tower. The batch schedule, appointment, postal option, and e-Diploma availability come from the graduation notice.
- Application and collection: Complete graduation clearance and settle outstanding matters, then collect after the email notice. If unable to attend, use the Authorization Form for the Collection of Diploma. Graduates from 2021 onward may have an e-Diploma, but choose paper or electronic delivery according to the recipient’s requirements.
- Materials and timing: Self-collection requires the original HKID/passport. A representative brings the completed form, applicant ID/passport copy, their original ID/passport, and may collect only as the named person. Paper Diplomas are normally retained for three years; outstanding fees or items can withhold issuance.
1.6 Similarity / academic proof
Section titled “1.6 Similarity / academic proof”- Application: Use a Transcript for complete course results, CTC Diploma for a certified diploma copy, and Testimonial or Graduation Letter for study/graduation status. Do not use a Diploma to prove programme details.
- Collection: Apply and pay first, then collect in person, by authorization, by post, or electronically as instructed. CTC requires the original Diploma at the designated counter.
- Materials: Keep the request number, payment record, original for CTC, authorization, and both identity documents. Third-party forms must be supplied during application.
1.7 Student card / other copies
Section titled “1.7 Student card / other copies”- Application and collection: Apply for a Student Card or replacement through the responsible AR/student-service arrangement; a non-academic copy is not automatically covered by a Diploma authorization form.
- Authorization materials: If permitted, bring the specified authorization, applicant ID copy, representative ID, and notice. A 2026 student-card schedule listed AR Room 301, Monday–Friday 09:00–12:45 and 14:00–17:00; check the current schedule before going.
- Note: Transcript, Testimonial, Diploma, and Student Card have separate request records. Check each request number and counter.
2. Master
Section titled “2. Master”2.1 Transcript
Section titled “2.1 Transcript”- Collection point: Taught-postgraduate records use TPSS/AR instructions. The current TPG Academic Record page links to the TPG Transcript system; confirm the paper-counter location in the email.
- Application and collection: Apply online, pay, and wait for the issue notice. Collection may be at the counter, by an authorized person, by post, or through the Digital Credential System. Keep the request number, payment record, and notice.
- Materials: A representative brings the applicant ID copy, signed authorization, and their HKID/passport. Request sealing or a third-party recipient during application. Timing varies by programme and peak season.
2.2 Study Proof
Section titled “2.2 Study Proof”- Application: Request a TPG Testimonial to prove study status; IANG may need a specific version.
- Collection point and method: Apply through TPSS/AR and collect, authorize collection, receive by post, or use the service shown in the notice. The TPG page notes that a Testimonial may have no electronic version, so follow the paper route when required.
- Materials and timing: A representative brings authorization, applicant ID copy, and their ID. TPG Testimonial is HK$50 per copy and normally takes about 7 working days; an IANG Testimonial normally takes about 10, subject to the current page.
2.3 Testimonial / other certification
Section titled “2.3 Testimonial / other certification”- Documents: Testimonial proves study/graduation status; Transcript lists full results; CTC Diploma certifies a copy against the original. Use a Graduation Letter/e-Graduation Letter when TPSS requires graduation-approval wording.
- Application and collection: Apply separately through TPG/AR, pay, and wait for the notice before collecting in person, by authorization, by post, or electronically. Different documents are separate requests.
- Special materials: CTC Diploma requires the original. If the recipient needs direct dispatch, enter the institution and address accurately in the request.
2.4 CoG / LC (where applicable)
Section titled “2.4 CoG / LC (where applicable)”- HKBU equivalent: A Master’s student does not have one universal CoG/LC label. Use Testimonial for current status, a Graduation Letter/e-Graduation Letter after the relevant approval, and the Diploma as the formal award document.
- Application and collection: Apply and pay in TPSS/AR, then collect at the notified location or use the electronic route. e-Graduation Letter availability depends on Senate approval.
- Authorization note: An electronic share is not paper-collection authorization. A representative still needs the TPG authorization letter and identity documents.
2.5 Graduation certificate / Award Parchment
Section titled “2.5 Graduation certificate / Award Parchment”- Collection point: The TPG Diploma counter, graduation batch, and appointment method come from TPSS/AR. Do not automatically use the undergraduate Room 301 arrangement.
- Application and collection: Follow the graduation notice for paper, electronic, or postal delivery. If another person collects, use the Authorization Form for Collection of Diploma. The representative may collect only the document named in the letter.
- Materials and timing: Bring the representative’s ID, signed authorization letter, and applicant ID copy. Clear outstanding fees and items first. TPG graduates from 2021 onward may have an e-Diploma; follow the batch notice.
2.6 Similarity / academic proof
Section titled “2.6 Similarity / academic proof”- Application: Use the TPG Transcript for complete results, Testimonial/Graduation Letter for status, and CTC Diploma for a certified copy. Confirm whether a recipient accepts Digital Credential or requires paper.
- Collection: Each document requires its own request, payment, and issue notice; collect in person, by authorization, post, or electronic delivery. CTC requires the original Diploma.
- Materials: Prepare the request number, payment record, authorization letter, applicant ID copy, representative ID, and CTC original where applicable.
2.7 Student card / other copies
Section titled “2.7 Student card / other copies”- Application and collection: Apply for a Student Card, alumni card, or non-academic copy through the responsible unit. A TPG academic authorization letter covers only the documents it names.
- Authorization materials: If collection by another person is permitted, bring the specified letter, applicant ID copy, representative ID, and notice. The location follows the email.
- Note: Do not use a Testimonial for full grades or a Diploma authorization letter for a Transcript unless the official instruction explicitly permits it.
3. Doctoral / research postgraduate
Section titled “3. Doctoral / research postgraduate”3.1 Transcript
Section titled “3.1 Transcript”- Collection point: Research-postgraduate students follow their research-office/AR notice; taught postgraduates follow TPSS academic-record instructions. Confirm the location in the notice.
- Application and collection: Apply and pay through the responsible system or paper route, then wait for completion. Collect in person, authorize collection, receive by post, or use the stated electronic route; research programmes should not reuse undergraduate forms.
- Materials: The representative brings the signed authorization, applicant ID copy, representative ID, request number, and notice. Confirm original documents and third-party sealing during application.
3.2 Study Proof
Section titled “3.2 Study Proof”- Application: Request a Testimonial to prove doctoral/research-postgraduate registration or study status; the responsible office may differ from TPSS.
- Collection point and method: Apply, pay, and wait for the issue notice, then collect at the research office/AR, authorize collection, or use post.
- Materials and status: Follow the responsible office’s authorization letter and ID requirements. Confirm the wording needed for IANG, graduation approval, or another purpose before applying.
3.3 Testimonial / other certification
Section titled “3.3 Testimonial / other certification”- Documents: Testimonial, Transcript, Graduation Letter/e-Graduation Letter, and CTC Diploma certify different matters; “other certification” is not a single universal document.
- Application and collection: Apply and pay separately through the research office/TPSS/AR, then collect in person, by authorization, by post, or electronically as instructed.
- Special materials: CTC Diploma requires the original. If an institution asks HKBU to verify directly, submit its form and recipient details and confirm the authorization required.
3.4 CoG / LC (where applicable)
Section titled “3.4 CoG / LC (where applicable)”- HKBU equivalent: There is no separate universal doctoral CoG/LC. Use Testimonial for current status, Graduation Letter/e-Graduation Letter for the relevant approval status, and Diploma for the formal award.
- Application and collection: Apply through the responsible postgraduate office and wait for the notice, then collect in person, by authorization, post, or electronically. Graduation batches and electronic services can differ by programme.
- Authorization note: A representative follows the matching authorization letter. Sharing an electronic credential is not the same as authorizing paper collection.
3.5 Graduation certificate / Award Parchment
Section titled “3.5 Graduation certificate / Award Parchment”- Collection point: Research postgraduates follow the research-office/AR batch notice; taught postgraduates follow TPSS/AR. Do not infer the location or date from the undergraduate schedule.
- Application and collection: Choose paper, electronic, or postal delivery in the graduation notice. A representative uses the matching postgraduate Diploma authorization letter and collects during the stated batch; the Diploma is not an automatic replacement for a Testimonial.
- Materials and timing: Bring the applicant ID copy, signed authorization letter, representative ID, and notice. Clear outstanding matters first. Paper Diplomas are normally retained for three years, subject to the current notice.
3.6 Similarity / academic proof
Section titled “3.6 Similarity / academic proof”- Application: Use Transcript for full results, Testimonial for study/status, Graduation Letter for approval status, and CTC Diploma for a certified copy. Ask the research office about any programme-specific proof.
- Collection: Apply, pay, and wait for issue before collecting in person, by authorization, post, or electronically; CTC needs the original.
- Materials: Prepare the request number, payment record, third-party form, authorization letter, both IDs, and the original Diploma where applicable.
3.7 Student card / other copies
Section titled “3.7 Student card / other copies”- Application and collection: Apply for a Student Card or non-AR document through the responsible unit. Confirm whether an ordinary authorization letter is accepted.
- Authorization materials: Bring the specified letter, applicant ID copy, representative ID, and collection notice; different offices’ forms are not interchangeable.
- Note: If collecting a Diploma, Transcript, and Testimonial together, check each document name, request number, authorization scope, and location.
Cross-level rules
- AR address and hours: Academic Registry (except the Academic Quality Support Section) is at Room 301, 3/F, SCE Tower, Baptist University Road Campus, Kowloon Tong. Counter hours are normally Monday–Friday 09:00–13:00 and 14:00–17:30; closed weekends and public holidays. AQSS is in Room 401.

- Authorization: Undergraduate Diploma, TPG Diploma, and academic records use different forms/letters. The usual paper-collection set includes a signed authorization, applicant ID copy, and representative’s original HKID/passport; follow the current form.
- Document purpose: Study Proof is Testimonial; Transcript is the complete academic record; Diploma is the formal graduation document. Graduation Letter/e-Graduation Letter is for the relevant approval status and is a separate request.
- Electronic records and retention: HKBU offers e-Diploma, e-Graduation Letter, or Digital Credential to eligible graduates. Paper Diplomas are normally retained for three years; the transcript form warns that an uncollected transcript may be destroyed after six months. Replacement Diploma is HK$600 and normally takes about four weeks, with loss/damage evidence as required.
- Available forms: Diploma collection form and academic-document authorization form; compare them with the current official version before use.
Image-guide supplement (authorization materials)
- For the image-guide submission, prepare a complete photo of valid identification (HKID or passport) and a complete screenshot of the relevant authorization form; fill only the blue fields marked in the form. Whether the paper counter accepts a screenshot or requires a printout follows the current AR notice.
- Use the form for the relevant student category: the Authorization Form for the Collection of Diploma, the Authorization Form for Collection of Diploma, or the Authorization Letter for the Application / Collection of Transcript / Testimonial / Certified True Copy of Diploma for Transcript, Testimonial, or CTC. Confirm the student category and service counter first.
