EdUHK

EdUHK academic documents are handled by the Registry Student Records Service Desk, with online application preferred. Award Certificate collection follows the separate Graduation/Registry notice for each batch. A Testimonial certifies the programme, year of enrolment, mode, and duration; a Transcript is the full course-grade record.

Quick jump: Bachelor / undergraduate · Master · Doctoral / research postgraduate

  • Collection point: Registry Student Records Service Desk, Room A-G/F-11, Cho Kwai Chee Foundation Building (Block A), 10 Lo Ping Road, Tai Po, New Territories, Hong Kong. Postal delivery or verification-platform routes may also be available.
  • Application and collection: Apply and pay through The Portal → e-SIS → e-SIS → Student Services → Application for Academic Documents, or submit the downloaded form and payment proof in person/by post. Wait for completion before collecting in person, authorizing a representative, or using the selected delivery route.
  • Materials and timing: Transcript is HK$50 per copy. Clear fees, fines, and loan items first. A representative brings the applicant Student ID/HKID copy, signed authorization form, and their HKID/passport. The desk is normally open Monday–Friday 08:30–17:20; weekends, public holidays, and bad-weather arrangements follow notices.
  • Application: Request a Testimonial to prove current student status. Use the Online Application Service or the Registry form route.
  • Collection point and method: After applying, paying, and receiving the completion notice, collect at A-G/F-11, authorize collection, or use post. For external verification, the University can send the document directly to the named institution from the application details.
  • Materials and status: Use the EdUHK academic-document authorization form, applicant Student ID/HKID copy, and representative HKID/passport. Final-year wording changes across the BoE/AB graduation-approval stages.
  • Documents: Testimonial is study proof. Other documents include Experiential Learning and Achievements Transcript (ELAT), Statement of Results, and Certified True Copy. ELAT is HK$50 per copy; one Statement of Results is issued free after graduation requirements are satisfied.
  • Application and collection: Apply, pay, and wait for the result before collecting ELAT/Testimonial/other documents at A-G/F-11, authorizing collection, or requesting direct delivery to WES/OCT or another institution. Statement of Results is issued through the graduation process, not as an instant Testimonial request.
  • Special materials: CTC requires the original document. WES/OCT applications should name the institution and include the reference number in the remarks. A representative still needs the authorization and identity documents.
  • EdUHK equivalent: EdUHK does not use one universal HKU-style CoG/LC. Use a Testimonial while studying, a Statement of Results or final Transcript for completion information, and the Award Certificate as the formal award document.
  • Application and collection: Apply for Transcript/Testimonial/ELAT online; Statement of Results is issued after the relevant graduation requirement; collect or receive each item under the Registry or Graduation notice.
  • Authorization note: The ordinary academic-document authorization form is presented at collection and is not attached to the original application. Award Certificate collection follows its own batch notice and identity requirements.

1.5 Graduation certificate / Award Parchment

Section titled “1.5 Graduation certificate / Award Parchment”
  • Collection point: Award Certificate collection follows the current Graduation page. For the 31 October 2026 batch, the official window is 6–7 November 2026, 10:00–16:00 at Room A-G/F-08, CKCF Building (Block A); from 9 November at 14:00, collection moves to A-G/F-11. Later batches follow new notices.
  • Application and collection: Complete graduation clearance and settle outstanding matters, then attend the specified window. If unable to attend, use the Registry authorization form or the postal/courier arrangement in the notice. The Award Certificate is the formal graduation document, not a substitute for a Testimonial.
  • Materials and timing: Self-collection requires an original HKID, Mainland ID, passport, or Student ID; copies and electronic screenshots are not accepted. A representative brings a non-electronic copy of the applicant ID, the signed non-electronic authorization form, and their own ID. Missing documents or outstanding matters can withhold issuance.
  • Application: Use Transcript for programme results, Statement of Results or final Transcript for completion, ELAT for learning achievements, and CTC for an authenticated certificate copy. There is no standard EdUHK document named “similarity certificate”; ask Registry for the closest official document.
  • Collection: Apply/pay and wait for the result before self-collection, authorized collection, post, or direct verification delivery. CTC requires the original.
  • Materials: Prepare request number, payment proof, third-party reference, authorization, applicant ID copy, and original document as applicable.
  • Application and collection: Student Card replacement is listed at HK$100; apply through the student/Registry service and collect under the notice. Other copies must be confirmed with the responsible unit.
  • Authorization materials: If another person may collect, bring the specified form, applicant Student ID/HKID copy, representative ID, and notice.
  • Note: Student Card, Transcript, Testimonial, and Award Certificate are separate documents with separate application, fee, location, and retention rules.
  • Collection point: Registry Student Records Service Desk, Room A-G/F-11, CKCF Building, Tai Po. Verification requests may be sent directly to the named institution.
  • Application and collection: Apply and pay through the Portal academic-document service or submit the form in person/by post; wait for completion before self-collection, authorization, or post. Transcript is HK$50 per copy.
  • Materials and timing: A representative brings authorization, applicant Student ID/HKID copy, representative HKID/passport, and the notice. Service is normally Monday–Friday 08:30–17:20, subject to weather and holiday notices.
  • Application: Apply for a Testimonial; it is the Master Study Proof. The content reflects the official status at the time of application.
  • Collection point and method: Apply/pay first, then collect at A-G/F-11, authorize collection, use post, or request direct delivery to an approved verification institution.
  • Materials and status: The representative brings the signed authorization form, applicant ID copy, and their own ID. Check the Academic Documents status table, because wording changes around BoE, AB, and graduation dates.
  • Documents: Testimonial proves study status; ELAT records learning achievements; Statement of Results confirms completion/impending graduation; CTC authenticates a certificate copy. Use Transcript for full grades.
  • Application and collection: Apply, pay, and wait for the result; collect at Registry, authorize collection, use post, or request direct verification delivery. ELAT is HK$50; Statement of Results is issued through the graduation process.
  • Special materials: CTC needs the original. WES/OCT requires the reference number in the remarks. The three authorization/identity items must be available at collection.
  • EdUHK equivalent: There is no separate Master CoG/LC. Use Testimonial for current status, Statement of Results for completion before graduation, the final Transcript for the record, and Award Certificate for the formal degree award.
  • Application and collection: Apply and pay for Testimonial/Transcript/ELAT; Statement of Results and Award Certificate follow graduation approval and ceremony arrangements. Collect or receive according to the relevant notice.
  • Authorization note: The academic-document form is presented at collection and does not replace the Award Certificate batch instructions.

2.5 Graduation certificate / Award Parchment

Section titled “2.5 Graduation certificate / Award Parchment”
  • Collection point: The Master Award Certificate location and window are given in the current Graduation/Registry notice; do not copy an undergraduate date. The page separates ceremony and collection arrangements by programme.
  • Application and collection: After graduation approval and clearance, collect in the specified window, authorize collection, or use the notified postal/courier route. Award Certificates are scheduled documents, not instant Online Application Service outputs.
  • Materials and timing: Self-collection uses an original ID. A representative brings the applicant ID copy, signed authorization, and their own ID; the room, appointment, and dates follow the cohort email.
  • Application: Use Transcript for full results, Statement of Results for completion, ELAT for achievements, and CTC for a certificate copy. Ask Registry about any programme-specific similarity proof.
  • Collection: Each item must be applied for or issued through its own process, then collected in person, by authorization, post, or verification delivery. CTC requires the original.
  • Materials: Keep payment proof, request number, authorization, applicant ID copy, representative ID, and original certificate when applicable.
  • Application and collection: Apply for Student Card replacement or another copy through the responsible unit; Registry academic-document requests do not automatically cover cards.
  • Authorization materials: If permitted, bring the specified form, applicant ID copy, representative ID, and notice. Confirm whether an appointment is required.
  • Note: Processing time, fee, and counter differ by document. Do not use Testimonial collection rules for an Award Certificate.
  • Collection point: Registry Student Records Service Desk, Room A-G/F-11, CKCF Building. Research-postgraduate results and graduation data are issued from the Registry record; verification institutions may receive documents directly.
  • Application and collection: Apply/pay through the Portal or form route, then wait for completion before self-collection, authorized collection, post, or verification delivery. Transcript is HK$50 per copy.
  • Materials and timing: A representative brings authorization, applicant Student ID/HKID copy, representative ID, and notice. The desk is normally open Monday–Friday 08:30–17:20.
  • Application: Request a Testimonial to prove doctoral/research-postgraduate registration or study status.
  • Collection point and method: Apply and pay, wait for completion, then collect at A-G/F-11, authorize collection, use post, or request direct delivery to a verification institution.
  • Materials and status: Bring the signed authorization, applicant ID copy, and representative ID. Final-year wording changes across BoE, AB, and the graduation date.
  • Documents: Testimonial is study proof; Transcript is the full record; Statement of Results certifies completion; ELAT records achievements; CTC authenticates a certificate copy.
  • Application and collection: Apply/pay separately, then collect in person, by authorization, by post, or through verification delivery. WES/OCT requests must identify the institution and reference number.
  • Special materials: CTC requires the original. A representative must provide the authorization form, applicant ID copy, and representative ID or Registry may withhold the document.
  • EdUHK equivalent: There is no doctoral CoG/LC. Use Testimonial for current status, Statement of Results or final Transcript for completion, and Award Certificate for the formal degree.
  • Application and collection: Apply/pay for Testimonial/Transcript/ELAT; Statement of Results and Award Certificate follow graduation approval and ceremony arrangements. Collect under the relevant notice.
  • Authorization note: The academic-document authorization applies to the matching document; the Award Certificate window and ID requirements must be checked separately.

3.5 Graduation certificate / Award Parchment

Section titled “3.5 Graduation certificate / Award Parchment”
  • Collection point: Doctoral/research-postgraduate Award Certificate collection follows the Graduation page and cohort email; it may differ from undergraduate or taught-postgraduate arrangements.
  • Application and collection: After graduation approval and clearance, attend the stated date; use the Registry authorization or postal/courier route if permitted. Do not travel to the counter without the batch notice.
  • Materials and timing: Self-collection requires original ID. A representative brings the applicant ID copy, signed authorization, and own ID. Bad-weather, holiday, room, and window changes follow the latest notice.
  • Application: Use Transcript, Statement of Results, ELAT, CTC, and direct verification for full results, completion, achievements, certificate copies, and third-party checks respectively. Ask Registry for any programme-specific similarity document.
  • Collection: Apply/pay or start verification first, then collect in person, by authorization, by post, or electronically as instructed. CTC requires the original.
  • Materials: Prepare request number, payment proof, third-party reference, authorization, applicant ID copy, representative ID, and original documents as applicable.
  • Application and collection: Apply for Student Card replacement through the student service; other non-Registry documents go to the responsible unit. Do not use the doctoral academic-document form for an unlisted card or certificate.
  • Authorization materials: Confirm authorization with the unit, then bring applicant ID copy, specified form, representative ID, and notice.
  • Note: When collecting an Award Certificate, Transcript, and Testimonial together, check each document name, request number, room, and authorization scope.

Cross-level rules

  • Registry address and hours: Student Records Service Desk is Room A-G/F-11, Cho Kwai Chee Foundation Building (Block A), 10 Lo Ping Road, Tai Po, New Territories, Hong Kong. Normal hours are Monday–Friday 08:30–17:20; weekends/public holidays are closed, and typhoon/black-rain arrangements follow official notices.
  • Application route: Transcript, Testimonial, ELAT, Replacement of Certificate, and related services are available through the Online Application Service. The handbook path is The Portal → e-SIS → e-SIS → Student Services → Application for Academic Documents; paper forms can be submitted in person/by post. Submission does not mean the item is ready.
  • Authorization: The EdUHK form is not attached to the original academic-document application; it is presented at collection. The representative must bring the applicant-signed form, applicant Student ID/HKID copy, and their HKID/passport. Missing any item can cause Registry to withhold the document.
  • Graduation status: Documents show the official record at application time. Between final-grade release, BoE, AB, and Graduation Date, Testimonial/Transcript wording and award information may change. Check the official status table.
  • Award and replacement: Award Certificates follow batch schedules and no duplicate is issued; CTC is available with the original. Eligible graduates may apply for a Replacement of Certificate for HK$400 with the required evidence. Do not use the academic-document counter as the award-collection window.
  • Electronic verification: Graduates from 2021/22 onward, except Diploma/Certificate in Professional Development Programmes, may use ACVP to share a QR code, URL, or PDF. WES/OCT requests can be sent directly to the institution when specified in the application.
  • Available form: EdUHK academic-document authorization form; compare it with the current official application page.

Image-guide supplement (authorization materials)

  • For the image-guide submission, prepare a complete photo of valid identification (HKID or passport) and a complete screenshot of the relevant authorization form; fill only the blue fields marked in the form. At Registry collection, still follow the University’s paper-form, applicant-ID-copy, and representative-ID requirements.
  • The address shown in the image now redirects to the University’s sign-in page; use the Authorization for the Collection of Academic Document(s) and check the latest version and collection notice before submitting it.

Application and collection points

  • Transcript: Apply/pay online or by form, wait for completion, then collect, authorize, use post, or request direct verification delivery. Transcript is the full academic record and is HK$50 per copy.
  • Testimonial / Study Proof: Apply for Testimonial first; Study Proof is Testimonial. Its wording reflects the official status at the application stage, especially around BoE/AB/graduation approval.
  • Award Certificate: Follow the batch Graduation notice; ordinary academic-document application does not replace the award window. A representative must present the paper authorization and ID copies at collection.
  • Other certification: ELAT, Statement of Results, CTC, Replacement of Certificate, WES/OCT direct delivery, and ACVP are separate routes and cannot all be covered by one authorization form.
