CUHK
Undergraduate documents are handled by the Registration and Examinations Section (RES), and postgraduate documents by the Graduate School (GS); do not mix their systems or authorization forms. “Study Proof” usually means Letter of Certification for undergraduates and Certifying Letter for postgraduates in the CUHK system; select the exact system label.
Quick jump: Bachelor / undergraduate · Master · Doctoral / research postgraduate
1. Bachelor / undergraduate
Section titled “1. Bachelor / undergraduate”1.1 Transcript
Section titled “1.1 Transcript”- Collection point: RES, 10/F or 11/F, Yasumoto International Academic Park (YIA), CUHK, Sha Tin. Postal or electronic delivery may also be selected.
- Application and collection: Apply and pay through CUSIS, then check the MyCUHK/CUSIS status or notice before choosing self-collection, an authorized representative, or Speedpost. A transcript normally takes about 5 working days; summer, pre-2010 Chinese transcripts, or special conferral-date wording can take about 10 working days.
- Materials: Self-collection requires HKID/passport and the application record. A representative should bring the RES academic-document authorization form, a copy of the applicant’s ID, the representative’s ID, and the application/payment record. Request sealing, a third-party form, or a named recipient in CUSIS.
1.2 Study Proof
Section titled “1.2 Study Proof”- Application: Undergraduate study proof is normally a Letter of Certification. CUSIS offers letters for current status, expected graduation, student visa, medium of instruction, or completion of graduation requirements; this is the Study Proof/Testimonial category used here.
- Collection point and method: Select RES counter collection, authorized collection, postal delivery, or an electronic copy in CUSIS. A submitted request is not the same as a ready document; wait for the status or notice.
- Materials and status: Use the academic-document authorization form for collection by another person, with the applicant’s ID copy and the representative’s ID. Final-year students should wait for the relevant grades, graduation assessment, or approval stage if the letter must show completion or graduation information.
1.3 Testimonial / other certification
Section titled “1.3 Testimonial / other certification”- Documents: RES may provide a Letter of Certification, Report on Curriculum Details, Report on Teaching Timetable Details, medium-of-instruction certification, and Certified True Copy (CTC). The undergraduate system may not call these documents “Testimonial.”
- Application and collection: Apply and pay through CUSIS, then collect at RES, use an authorized representative, receive by post, or download as instructed. Reports normally need more time than a standard transcript.
- Special materials: CTC Degree Certificate requires the original certificate to be shown by the applicant or authorized person. Bring the relevant authorization form, applicant ID copy, and representative ID; confirm in advance if the original is sealed or otherwise difficult to verify.
1.4 CoG / LC (where applicable)
Section titled “1.4 CoG / LC (where applicable)”- CUHK equivalent: CUHK does not use one HKU-style CoG. Undergraduate students use a Letter of Certification/letter certifying completion of studies for current status, expected graduation, or completed requirements.
- Application and collection: Apply in CUSIS. Before grades and graduation assessment are complete, the letter may be limited to current or expected status. After the result is ready, follow the RES counter, postal, or authorized-collection instruction.
- Authorization note: The academic-document authorization form is not the same as the undergraduate Degree Certificate authorization form. Prepare the applicant ID copy, representative ID, and application number for the correct document.
1.5 Graduation certificate / Award Parchment
Section titled “1.5 Graduation certificate / Award Parchment”- Collection point: The undergraduate Degree Certificate is handled by RES at 10/F, YIA; Speedpost can be requested through CUSIS. Collection starts only after formal conferment and the relevant collection date.
- Application and collection: Collect in person after the notice, or complete the Authorization Form for the Collection of Degree Certificate of Undergraduate Programmes. Speedpost is also requested in CUSIS. For 2025–26, the official examples are 31 July 2026 conferment → collection from 10 August 2026, and 15 October 2026 conferment → collection from 26 October 2026; later batches follow new notices.
- Materials and timing: The applicant brings the original HKID/passport. The representative brings the signed form, applicant ID/passport copy, their own original ID/passport, and signs for receipt. Details must match CUHK records. Speedpost is HK$70 to Hong Kong, HK$250 to Mainland/other Asian regions, or HK$350 elsewhere; normal processing is 5–7 working days.
1.6 Similarity / academic proof
Section titled “1.6 Similarity / academic proof”- Application: Use Report on Curriculum Details for programme/major structure, Report on Teaching Timetable Details for timetable evidence, and CTC Degree Certificate when a certified certificate copy is required.
- Collection: Reports are collected or mailed as instructed. CTC requires the original Degree Certificate at RES, either in person or through an accepted representative. CUHK has no standard document named “similarity certificate”; confirm the exact document with RES.
- Materials: Keep the request number, payment record, original certificate for CTC, and the authorization form. Submit third-party forms with the application; do not assume they can be added at collection.
1.7 Student card / other copies
Section titled “1.7 Student card / other copies”- Application and collection: A Student Card, other card, or non-academic copy is outside the default RES academic-document authorization form. Apply to the responsible student-service unit and collect at the location in its notice.
- Authorization materials: If that unit permits collection by another person, use its specified form and bring the applicant ID copy, representative ID, and request number. Do not reuse the Degree Certificate form without confirmation.
- Note: Student-card replacement and identity checks follow separate rules. If no specific notice is available, ask the responsible office before travelling.
2. Master
Section titled “2. Master”2.1 Transcript
Section titled “2.1 Transcript”- Collection point: Postgraduate academic documents are normally handled by GS at 7/F, Yasumoto International Academic Park; postal or electronic service may be available.
- Application and collection: Apply, pay, and check status through GS Request Official Documents. A transcript normally takes about 5 working days, or about 10 in July–August or for special conferral-date wording. Collect in person, authorize another person, or use the delivery method in the notice.
- Materials: A representative brings the GS academic-document authorization form, applicant HKID/passport copy, representative ID, and the request/payment record. Keep the application number and collection notice.
2.2 Study Proof
Section titled “2.2 Study Proof”- Application: Postgraduate Study Proof is normally a Certifying Letter for current status, completion requirements, expected graduation, medium of instruction, or graduate status.
- Collection point and method: Use the GS 7/F YIA counter, authorized collection, post, or an electronic route shown in the notice. Visa or IANG use may require a particular wording and application time.
- Materials and status: Apply and pay through GS, then use the Letter of Authorization for collection by another person. Before approval, a final-year letter may not show the final degree or honours classification.
2.3 Testimonial / other certification
Section titled “2.3 Testimonial / other certification”- Documents: GS lists Certifying Letter, Transcript, Report on Curriculum Details, and CTC Graduate Certificate. The system may not use the word “Testimonial.”
- Application and collection: Apply through GS. Report on Curriculum Details normally takes about 15 working days; a standard Certifying Letter or Transcript normally takes about 5 working days, with longer peak or special processing. Collect at GS, authorize collection, use post, or use an electronic certificate as instructed.
- Special materials: CTC Graduate Certificate requires the original certificate. The representative brings the GS form, applicant ID copy, and their own ID; the academic-document form does not collect the Graduate Certificate itself.
2.4 CoG / LC (where applicable)
Section titled “2.4 CoG / LC (where applicable)”- CUHK equivalent: Postgraduates use a Certifying Letter/Letter of Certification rather than a separate HKU-style CoG. The content depends on the application stage and can certify current status, completion requirements, or graduate status.
- Application and collection: Apply and pay in GS. If proof is needed before the Graduate Certificate is ready, request the Certifying Letter rather than waiting for the certificate. Collect in person, by authorization, post, or electronic delivery as instructed.
- Authorization note: The Certifying Letter form and Graduate Certificate form are different. A Graduate Certificate request does not automatically provide every academic letter; check the GS email.
2.5 Graduation certificate / Award Parchment
Section titled “2.5 Graduation certificate / Award Parchment”- Collection point: The Graduate Certificate is collected from GS, 7/F YIA, according to the conferment and collection notice; do not use the undergraduate RES location.
- Application and collection: GS sends the collection notice after graduation approval. Collect in person, or print the Authorization Form for Collection of Graduate Certificate for a representative; use Speedpost only where the current arrangement allows it.
- Materials and timing: The representative brings the form, applicant HKID/passport copy, their original HKID/passport, and signs. GS hours are normally Monday–Thursday 08:45–13:00 and 14:00–17:30, Friday until 17:45; closed weekends and public holidays. Certificates are generally retained for seven years and then may be destroyed.
2.6 Similarity / academic proof
Section titled “2.6 Similarity / academic proof”- Application: Use Report on Curriculum Details for programme structure, Report on Teaching Timetable Details for timetable evidence, the relevant Letter of Certification for medium of instruction, and CTC Graduate Certificate for a certified certificate copy.
- Collection: Apply, pay, and wait for the GS result before collecting in person, by authorization, post, or electronic delivery. Reports require more time than a standard transcript.
- Materials: Keep the request number, payment record, third-party form, original certificate for CTC, and the correct authorization form.
2.7 Student card / other copies
Section titled “2.7 Student card / other copies”- Application and collection: Apply for a student/alumni card or non-GS copy through the responsible unit. The GS academic-document form covers only the documents named on it.
- Authorization materials: If collection by another person is permitted, bring the applicant ID copy, authorization form, representative ID, and notice. The location is determined by the responsible unit.
- Note: Graduate Certificate, CTC, and ordinary academic documents are separate processes and cannot be assumed to share materials.
3. Doctoral / research postgraduate
Section titled “3. Doctoral / research postgraduate”3.1 Transcript
Section titled “3.1 Transcript”- Collection point: Doctoral and research-postgraduate documents are handled by GS at 7/F YIA, with postal or electronic options where offered.
- Application and collection: Apply and pay in GS Request Official Documents. A standard transcript normally takes about 5 working days; peak periods and special wording may take about 10. Collect in person, authorize a representative, or use the requested delivery route.
- Materials: The representative brings the GS authorization form, applicant ID copy, their ID, and the request/payment record. State sealing or third-party forms in the application.
3.2 Study Proof
Section titled “3.2 Study Proof”- Application: A doctoral student normally requests a GS Certifying Letter for current registration, research-postgraduate status, or another specified status. It is the Testimonial/Study Proof category used here.
- Collection point and method: Apply in the GS system, then collect at 7/F YIA, authorize collection, receive by post, or use electronic delivery as instructed. Research-postgraduate status and graduation approval affect the wording.
- Materials and status: The representative uses the GS academic-document authorization form and brings the applicant ID copy and their own ID. Confirm that all grades and approvals are recorded before requesting completion wording.
3.3 Testimonial / other certification
Section titled “3.3 Testimonial / other certification”- Documents: Certifying Letter, Transcript, Report on Curriculum Details, medium-of-instruction certification, and CTC Graduate Certificate serve different purposes; there is no single universal Testimonial.
- Application and collection: Apply, pay, and wait for the result; collect in person, by authorization, post, or electronically as instructed.
- Special materials: CTC requires the original Graduate Certificate. A representative must satisfy both the GS authorization-form and identity-document requirements.
3.4 CoG / LC (where applicable)
Section titled “3.4 CoG / LC (where applicable)”- CUHK equivalent: Doctoral students have no separate CoG. Request a GS Certifying Letter/Letter of Certification for current status, completion requirements, or graduate status.
- Application and collection: Apply and pay in GS. If completion must be proved before the certificate is issued, request the letter first; then collect in person or through the authorized/delivery method in the notice.
- Authorization note: The Graduate Certificate has its own form and cannot be collected with the Transcript/Certifying Letter form alone.
3.5 Graduation certificate / Award Parchment
Section titled “3.5 Graduation certificate / Award Parchment”- Collection point: The doctoral Graduate Certificate is collected from GS at 7/F YIA according to the current graduation notice. Do not infer its date from the undergraduate RES schedule.
- Application and collection: Collect after the GS notice, or let a representative use the Authorization Form for Collection of Graduate Certificate. Use postal delivery only if the current batch permits it; a separate transcript application is not required simply to collect the certificate.
- Materials and timing: The representative brings the authorization form, applicant ID copy, own original ID, and signs. GS hours are Monday–Thursday 08:45–13:00 and 14:00–17:30, Friday until 17:45. Certificates follow the seven-year retention rule in the official guidance.
3.6 Similarity / academic proof
Section titled “3.6 Similarity / academic proof”- Application: Request Report on Curriculum Details for programme structure, Report on Teaching Timetable Details for teaching-time evidence, the relevant Certifying Letter for medium of instruction or graduate status, and CTC for a certificate copy.
- Collection: Each document requires its own GS application/payment or request and is collected in person, by authorization, post, or electronically as instructed. Reports may take about 15 working days.
- Materials: Keep the payment record, third-party form, original Graduate Certificate for CTC, and the correct authorization materials.
3.7 Student card / other copies
Section titled “3.7 Student card / other copies”- Application and collection: Apply for a student card or other non-GS document through the responsible unit. The GS authorization form does not automatically cover cards, faculty letters, or other copies.
- Authorization materials: Confirm authorization with that unit, then bring the applicant ID copy, form, representative ID, and collection notice.
- Note: If collecting a Graduate Certificate and academic documents together, check each form, request number, location, and authorization scope separately.
Cross-level rules
- Offices and hours: RES is at 10/F/11/F YIA; GS is at 7/F YIA. RES certificate-counter hours are normally Monday–Friday 09:00–13:00 and 14:00–17:30, closed weekends/public holidays. GS is normally Monday–Thursday 08:45–13:00 and 14:00–17:30, Friday until 17:45. Holiday-eve hours can be shorter.
- Application and authorization are separate: CUSIS, GS Request Official Documents, the academic-document authorization form, the undergraduate Degree Certificate form, and the Graduate Certificate form each cover different documents. Completing an online request does not mean the document is ready for collection.
- Identity checks: Undergraduate Degree Certificate authorization requires details to match CUHK records; the representative shows original ID and signs. GS academic documents generally require the authorization form and applicant ID copy; Graduate Certificate uses its own form. Follow the current form for original/copy requirements.
- Electronic options: Eligible students and graduates may receive e-Certificates. Since 2025, eligible postgraduate graduates may receive a complimentary Letter of Certification/Transcript or use CUHK e-Certification. Electronic delivery and paper collection are separate choices; check what the receiving institution accepts.
- Outstanding matters: Unpaid fees, unreturned library items, or other clearance issues can delay certificates and academic documents. Clear them before travelling.
- Available forms: Undergraduate certificate form, graduate certificate form, and postgraduate academic-document form; compare them with the latest official versions before use.
Image-guide supplement (authorization materials)
- For the image-guide submission, prepare a complete photo of valid identification (HKID or passport) and a complete screenshot of the relevant authorization form; fill only the blue fields marked in the form. At the counter, still follow the current CUHK form’s paper-form, applicant-ID-copy, and representative-original-ID requirements.
- Postgraduate graduation/Graduate Certificate uses the Authorization Form for Collection of Graduate Certificate; postgraduate transcripts, Certifying Letters, and related records use the Letter of Authorization; undergraduate degree certificates use the Authorization Form for the Collection of Degree Certificate of Undergraduate Programmes. Do not interchange the three forms.

- Transcript: Apply and pay in CUSIS (undergraduate) or GS (postgraduate), wait for the status/email, then collect in person, by authorization, by post, or electronically. Specify sealing, third-party forms, recipient, and method during application.
- Study Proof: Undergraduates request a Letter of Certification; postgraduates request a Certifying Letter. The status, graduation approval, and grade-release stage determine its content.
- Graduation certificate: Undergraduate Degree Certificate and postgraduate Graduate Certificate become collectible only after formal conferment and the relevant date. Their locations, forms, identity requirements, and delivery options differ.
- Other certification: Reports on curriculum/timetable, medium-of-instruction certification, and CTC each require their own request; CTC requires the original certificate and cannot be replaced by a transcript or scan.
