Lingnan University
Lingnan Registry handles Transcripts, Testimonials, and several certificate services. Taught-postgraduate graduation certificates are normally collected from the relevant department/programme office; follow the batch notice. A Testimonial describes current study or graduation status, while a Transcript is the complete academic record.
Quick jump: Bachelor / undergraduate · Master · Doctoral / research postgraduate
1. Bachelor / undergraduate
Section titled “1. Bachelor / undergraduate”1.1 Transcript
Section titled “1.1 Transcript”- Collection point: Registry, ADG08, Wong Administration Building, Lingnan University, Tuen Mun, Hong Kong. An Official Copy may be sent sealed to an institution; a Student’s Copy may be collected at the counter or mailed.
- Application and collection: Students/alumni from 2003 onward with myLingnan access use myLingnan Portal → Student Services/Alumni → Online Application for Transcript. Graduates from 2002 or earlier, or those without Portal access, use the form in person, by post, or by email. The fee is HK$70 per copy; normal processing is 7 working days excluding the application day, with longer peak periods and no guaranteed urgent service.
- Materials and authorization: Self-collection uses an LU Card or alumni HKID/other ID. An authorized person needs a hard-copy signed authorization letter, applicant ID copy, and their own ID. Keep the payment and readiness details.
1.2 Study Proof
Section titled “1.2 Study Proof”- Application: Request a Testimonial to prove current registration, programme, or graduation status through the same Portal/form route as a Transcript.
- Collection point and method: Apply and pay, wait for issue, then collect at Registry, authorize collection, or use post. An online submission is not a ready-to-collect document.
- Materials and status: The fee is HK$50 per copy. A representative brings the hard-copy authorization, applicant ID copy, and their own ID. Wording follows the official record at application time; do not request unapproved graduation information.
1.3 Testimonial / other certification
Section titled “1.3 Testimonial / other certification”- Documents: Testimonial is study proof. Certification of Retitlement to University confirms that Lingnan College was retitled Lingnan University on 30 July 1999; it is not a degree or grade proof. Use Transcript for full results.
- Application and collection: Apply/pay for Testimonial through the Portal/form and allow about 7 working days. Apply for Retitlement with the Registry form; it can be issued at the counter after verification for HK$50. Collect in person, by authorization, or by the stated delivery method.
- Special materials: A representative needs authorization and both identity documents. Third-party checks use Online Education Verification (OEV) or ACVP, not Retitlement.
1.4 CoG / LC (where applicable)
Section titled “1.4 CoG / LC (where applicable)”- Lingnan equivalent: The official Registry pages do not use a separate HKU-style CoG/LC. Use Testimonial for current status, Transcript for wider academic/graduation information, and Retitlement only for the university-title change.
- Application and collection: Apply/pay through the Portal or Registry form. For graduation status use Graduation, ACVP, OEV, or the paper document requested by the recipient; do not relabel an ordinary Testimonial as a CoG.
- Authorization note: Confirm whether the recipient accepts ACVP, OEV, or paper. Paper collection by another person still needs authorization and both IDs.
1.5 Graduation certificate / Award Parchment
Section titled “1.5 Graduation certificate / Award Parchment”- Collection point: Undergraduate Graduation Certificates are normally issued by Registry. Official issuance/conferment dates include 31 March, 31 July, 31 August, and 15 November; the actual room and collection date come from the cohort email.
- Application and collection: Complete graduation approval, clear fees, return library items, and follow the notice for self-collection or authorized collection. Undergraduates normally use Registry; a representative needs a signed authorization, applicant HKID copy, and their own ID.
- Materials and timing: Bring the required IDs and notice. Uncollected certificates are normally retained for one year and may then be destroyed. A Transcript/Testimonial request does not collect the graduation certificate.
1.6 Similarity / academic proof
Section titled “1.6 Similarity / academic proof”- Application: Use Transcript for programme/course results, Testimonial for current/graduation status, and Retitlement only for the university-title change. Lingnan has no standard Registry document named “similarity certificate”; ask the responsible office for the appropriate document.
- Collection: Apply/pay and wait about 7 working days for ordinary Transcript/Testimonial; Retitlement follows its verification process. Use counter, authorization, post, or electronic verification as applicable.
- Materials: Prepare request number, payment record, authorization, applicant ID copy, representative ID, and third-party details separately for each document.
1.7 Student card / other copies
Section titled “1.7 Student card / other copies”- Application and collection: Student Card replacement is listed as about 5 working days and HK$100 in the Registry service table. Apply and collect under the notice; ask the relevant student unit about other copies.
- Authorization materials: If permitted, bring the specified authorization, applicant ID copy, representative ID, and notice. Do not use a Graduation Certificate authorization for a Student Card.
- Note: Official Copy Transcript, Student’s Copy Transcript, Testimonial, and Graduation Certificate are different products; confirm which version the recipient needs.
2. Master
Section titled “2. Master”2.1 Transcript
Section titled “2.1 Transcript”- Collection point: Registry, ADG08. An Official Copy is sealed and sent directly to the institution; a Student’s Copy can be collected at Registry or mailed.
- Application and collection: Students with Portal access use myLingnan; earlier/no-access applicants use the form in person, by post, or email. The fee is HK$70 per copy and normal processing is 7 working days excluding the application day; peak periods may take longer.
- Materials and authorization: Self-collection uses LU Card/HKID/other ID. A representative needs a hard-copy authorization, applicant ID copy, and representative ID. A sealed Official Copy must not be opened or converted into a Student’s Copy.
2.2 Study Proof
Section titled “2.2 Study Proof”- Application: Request a Testimonial for current Master’s study or graduation status through myLingnan or the Registry form.
- Collection point and method: Apply/pay first, then collect at Registry, authorize collection, or use post. Normal processing is about 7 working days and urgent processing is not guaranteed.
- Materials and status: The fee is HK$50 per copy. A representative brings the hard-copy authorization, applicant ID copy, and their own ID. Confirm any IANG wording before applying.
2.3 Testimonial / other certification
Section titled “2.3 Testimonial / other certification”- Documents: Testimonial proves study/graduation status; Transcript records all results; Retitlement confirms only the former/current university title; OEV/ACVP support third-party verification.
- Application and collection: Apply/pay separately through the Portal or Registry form, then collect in person, by authorization, post, or electronic verification. A Testimonial is not a full Transcript.
- Special materials: A representative needs authorization and both IDs. For direct education verification, follow the OEV manual rather than sending a personal scan as if it were a university submission.
2.4 CoG / LC (where applicable)
Section titled “2.4 CoG / LC (where applicable)”- Lingnan equivalent: There is no universal Master CoG/LC. Use Testimonial for current status, Transcript for the academic record, and the graduation certificate from Registry or the programme office for the formal award.
- Application and collection: Choose the document based on purpose. Apply/pay or start OEV/ACVP, then collect or verify according to the notice. Paper collection by another person still needs a signed authorization.
- Authorization note: Electronic verification consent and paper-collection authorization are separate actions.
2.5 Graduation certificate / Award Parchment
Section titled “2.5 Graduation certificate / Award Parchment”- Collection point: Taught-postgraduate (TPg) certificates are normally collected from the department/programme office; research-postgraduate (RPg) and undergraduate certificates are normally handled by Registry. The cohort notice controls.
- Application and collection: Complete conferment and clearance, then collect in person or authorize another person. The issuance batches include 31 March, 31 July, 31 August, and 15 November; actual collection dates differ. A Transcript request does not collect the certificate.
- Materials and timing: A representative brings signed authorization, applicant HKID copy, and their own ID. Certificates are normally retained for one year. Department instructions take priority for TPg.
2.6 Similarity / academic proof
Section titled “2.6 Similarity / academic proof”- Application: Use Transcript for academic/major results, Testimonial for status, OEV/ACVP for third-party verification, and Retitlement only for the title change. Retitlement is not degree evidence.
- Collection: Apply or start verification, then use counter, authorization, post, or electronic delivery. Ordinary Transcript/Testimonial processing is about 7 working days.
- Materials: Keep request number, payment record, third-party information, authorization, applicant ID copy, and representative ID.
2.7 Student card / other copies
Section titled “2.7 Student card / other copies”- Application and collection: Student Card replacement follows the Registry service table (about 5 working days, HK$100); other copies go to the relevant office. Collect or receive them under the notice.
- Authorization materials: If permitted, bring the specified authorization, applicant ID copy, representative ID, and notice. Do not extend a TPg certificate authorization to a card.
- Note: Official/Student Copy, Testimonial, certificate, and electronic-verification credentials have different recipient rules.
3. Doctoral / research postgraduate
Section titled “3. Doctoral / research postgraduate”3.1 Transcript
Section titled “3.1 Transcript”- Collection point: RPg students normally use Registry, ADG08. Official Copy can be sealed and sent to the institution; Student’s Copy can be collected at the counter or mailed.

- Materials and authorization: A representative needs hard-copy authorization, applicant ID copy, representative ID, and the notice. Keep the payment and readiness details.

- Materials and status: The fee is HK$50 per copy. A representative brings hard-copy authorization, applicant ID copy, and their own ID. Final graduation information follows formal conferment and the official record.
3.3 Testimonial / other certification
Section titled “3.3 Testimonial / other certification”- Documents: Testimonial, Transcript, OEV/ACVP, and Retitlement serve different purposes; use Transcript for complete research-postgraduate results.
- Application and collection: Submit the relevant application/payment or let the verification institution start the official check, then collect in person, by authorization, post, or electronically.
- Special materials: A representative brings authorization and both IDs. RPg documents managed by another office follow that office’s form and notice.
3.4 CoG / LC (where applicable)
Section titled “3.4 CoG / LC (where applicable)”- Lingnan equivalent: There is no separate doctoral CoG/LC. Use Testimonial for current status, Transcript for the full record, and the RPg/TPg graduation certificate for the formal award. Retitlement only covers the university-title change.
- Application and collection: Confirm whether the recipient needs Testimonial, Transcript, certificate, OEV, or ACVP, then apply/authorize through the matching route. Do not submit multiple documents for the same purpose without checking.
- Authorization note: Electronic verification requires graduate consent and a shared URL/QR/PDF; paper collection still needs separate authorization and ID copies.
