CityUHK

“港城” means City University of Hong Kong (CityUHK); use the exact system document label when applying.

Quick jump: Bachelor / undergraduate · Master · Doctoral / research postgraduate

  • Application: ARRO handles undergraduate/associate-degree academic documents. For same-day counter service, complete the paper form in person; complete materials take about 15 minutes. Eligible requests may also use the AIMS or postal route shown on the official page.
  • Authorization materials: If another person applies or collects for you, authorize them in AIMS first. Bring the authorization screenshot, the number beginning with AU, the applicant’s ID copy, and the representative’s ID; enter the AU number on the paper form. Students collecting for themselves do not need prior authorization.
  • Collection: Use the counter or Smart Locker named in the notice. A counter proxy collection also needs the application number and authorization materials; Smart Locker requirements follow the notice and student-ID rules.
  • Use and application: This proves current enrollment for purposes such as an entry permit, visa, or internship. For same-day counter service, apply at the ARRO or specified counter using the paper form; an AIMS request is for other officially permitted channels and cannot replace that same-day counter step.
  • Authorization materials: AIMS authorization screenshot, AU number, applicant ID copy, and representative ID; collect from the counter or Smart Locker only after the confirmation notice.
  • Undergraduate note: Undergraduates generally need a student card as an extra item, so the common set is the authorization screenshot, ID copy, and student card.
  • Application and collection: Complete the paper form at the ARRO or named counter, then collect at the counter or Smart Locker after confirmation.
  • On-site documents: Testimonial, Transcript, Study Proof, and junior/high-school transcript copies or Certified True Copy may be handled by paper form at the counter and take about 15 minutes when complete.
  • Materials: Enter the AIMS-generated AU number on the paper form and bring the applicant’s ID copy and representative’s ID.
  • Note: The exact document name, counter, and same-day eligibility come from the current ARRO/faculty notice.
  • CityU document: The relevant document is the LC (Letter of Certification), not HKU’s CoG. LC can certify a course, professional project, completion requirement, or other school-confirmed fact.
  • Application and wait: SGS certification normally takes about 7 working days; collect at the SGS counter, Smart Locker, or by electronic/postal method shown in the confirmation. If the system/email limits LC to AIMS, apply through AIMS.
  • Proxy: Another classmate may collect it, but the LC application itself must still be submitted by the student in AIMS; authorization follows the transcript process.

1.5 Graduation certificate / Award Parchment

Section titled “1.5 Graduation certificate / Award Parchment”
  • Timing: Fresh graduates must use the designated date and counter; non-fresh graduates generally collect after the document is ready under the counter arrangement.
  • Authorization and counter: Authorize in AIMS, following the transcript and Study Proof logic. After authorization, the counter normally needs a signature rather than another ordinary academic-document application form.
  • Undergraduate materials: Follow the notice and bring the authorization screenshot, ID copy, student card, and collection notice.
  • Application and collection: Request the Certified True Copy or other proof from ARRO/the faculty counter, then collect after the counter confirms completion.
  • Junior/high-school copies: Apply for a Certified True Copy at the ARRO/faculty counter after confirming that the document is an on-site service.
  • IOC / IO4: Verify the system name, collection point, and purpose before using it; do not substitute it for LC.
  • Application and collection: Submit the request to ARRO or the named counter first, then collect at the counter or Smart Locker after confirmation.
  • Student card: An undergraduate who loses or damages a card should apply in person at ARRO; the current official fee is HK$100 and valid HKID/passport verification is required. A proxy should also bring the AIMS screenshot, AU number, applicant ID copy, and representative ID.
  • Other copies: Counter and Smart Locker materials differ; follow the confirmation notice rather than applying counter requirements to a Smart Locker.
  • Application: SGS normally handles Master’s academic documents. For same-day counter service, complete the paper form in person; complete materials take about 15 minutes. Eligible requests may also use the AIMS or postal route shown on the official page.
  • Materials and collection: Bring the AIMS screenshot, AU number, applicant ID copy, and representative ID; collect at the counter or Smart Locker named in the notice.
  • Use and application: This proves current enrollment and is usually handled by ARRO, SGS, or a faculty through an on-site paper form; use the system’s exact name and confirmation notice.
  • Materials and collection: Bring the authorization screenshot, AU number, and both IDs; use the counter or Smart Locker only if the notice permits it.
  • Application and collection: Complete the required paper form at the named counter, then collect at the counter or Smart Locker after the ready notice.
  • On-site documents: Testimonial and other eligible proofs can take about 15 minutes when complete; the paper form is required.
  • Materials: AIMS screenshot, AU number, applicant ID copy, and representative ID; the counter confirms whether the document is available the same day.
  • Application and wait: SGS certification normally takes about 7 working days; collect at the SGS counter, Smart Locker, or by electronic/postal method shown in the confirmation. If the system/email limits LC to AIMS, apply through AIMS.
  • Authorization and use: A classmate may collect it. LC proves broader course/project facts, but use Study Proof first when the only purpose is to prove current enrollment.

2.5 Graduation certificate / Award Parchment

Section titled “2.5 Graduation certificate / Award Parchment”
  • Timing: Fresh graduates follow the designated date and counter; non-fresh graduates collect after the document is ready under the counter arrangement.
  • Authorization and counter: Authorize in AIMS, then collect in person; the counter normally needs a signature rather than a repeat academic-document application. The doctoral student-card return rule does not apply to the Master case.
  • Application and collection: Request the Certified True Copy or other proof from ARRO/the faculty counter, then collect after the counter confirms completion.
  • Document choice: Junior/high-school transcript copies or Certified True Copy follow the ARRO/faculty counter; the official IOC/IO4 name remains to be verified.
  • Materials: Complete AIMS authorization and bring the AU number, applicant ID copy, and representative ID; the application route depends on the document notice.
  • Materials: Usually bring the AIMS screenshot, AU number, applicant ID copy, and representative ID; add the student card if the notice asks for it.
  • Student card: If a Master student loses or damages a student card, apply for a replacement under the current SGS page; the current official fee is HK$100 and valid HKID/passport verification is required.
  • Collection: Counter or Smart Locker depends on the confirmation notice; a counter visit also needs the application number.
  • Application: SGS normally handles doctoral/research-postgraduate (RPg) academic documents. Follow the SGS notice; use the paper form for same-day counter service and use AIMS or post where the official route permits.
  • Materials and collection: Bring the screenshot, AU number, applicant ID copy, and representative ID; use the counter or Smart Locker named in the notice.
  • Use and application: This proves current enrollment; choose AIMS, paper counter, or post according to the SGS/faculty notice. For same-day counter service, the online route cannot replace the paper counter step.
  • Materials and collection: Bring the AIMS screenshot, AU number, and both ID copies; the location may be the SGS counter or a specified locker.
  • Application and collection: Complete the paper form at the SGS/faculty counter, then collect at the counter or Smart Locker after confirmation.
  • Document scope: Verify the official name of Testimonial, Certified True Copy, or another proof; same-day on-site service depends on the SGS/faculty notice.
  • Materials: AIMS screenshot, AU number, applicant ID copy, and representative ID; add any other document requested by the email.
  • Application and wait: The current SGS certification page lists AIMS, counter, or postal routes and normally takes about 7 working days. A classmate may collect it, but submitting a request does not mean it is ready; if the current system limits LC to AIMS, follow that system rule.
  • Document choice: LC covers broader course/project facts; use Study Proof when only current enrollment must be shown, to avoid the longer LC wait.

3.5 Graduation certificate / Award Parchment

Section titled “3.5 Graduation certificate / Award Parchment”
  • Application and collection: Confirm the award-certificate eligibility and collection notice, complete AIMS or the official postal route if required, then collect at the named window.
  • Timing: Fresh graduates follow the designated date and special counter; non-fresh graduates use the ready notice.
  • Doctoral note: Doctoral students must return the student card before collecting the award certificate; Master students do not. Confirm this in the individual email.
  • Authorization and counter: Authorize in AIMS; the counter normally needs a signature and any student-card return proof specified in the notice.
  • Application and collection: Confirm the formal document name and route with SGS/the faculty, submit the request, then collect at the named point after the notice.
  • Document choice: Junior/high-school transcript copies or Certified True Copy and IOC/IO4 must be checked against the system label; LC is broader but slower.
  • Materials: AIMS screenshot, AU number, applicant ID copy, and representative ID, following the SGS/faculty notice.
  • Student card: A doctoral/RPg student who loses or damages a card should apply in person at SGS; the current official fee is HK$100 and valid HKID/passport verification is required. The award-certificate process involves returning the student card; other copy requests follow the SGS/faculty notice.
  • Other copies: A counter proxy brings the application number, authorization materials, and IDs; a Smart Locker follows the notice and student-ID requirements.

Cross-level rules

  • AIMS fields: Use Student Record → My Applications → Authorisation Letter. Match name capitalization and ID numbers exactly. Do not enter the brackets themselves, but do enter the digits inside the brackets. Passport authorization must match the passport actually used. The authorization number normally begins with AU and must be entered on the paper form.
  • Paper versus online: Same-day counter processing for Transcript, Study Proof, Testimonial, junior/high-school transcript copies, and Certified True Copy requires the on-site paper form. Other eligible applications may use AIMS, post, or the counter; apply for LC through AIMS when the system/email requires it.
  • SGS address and hours: 2/F, CityUHK International Centre, 22 Cornwall Street, Kowloon; Monday–Friday 09:00–12:30 and 13:45–18:30, with weekends and public holidays subject to the current arrangement. Some counters also use 09:00–12:30, 14:00–17:30, or an undergraduate afternoon period around 15:00–17:30; confirm the time by email.
  • Arrival and collection methods: When SGS is busy, arrive before 12:00 or 18:00; transcript production and copies may otherwise not finish that day. Counter proxy collection usually needs the application number, authorization screenshot/letter, and IDs. Smart Locker eligibility, 24-hour access, and physical/mobile student-ID requirements follow the notice and campus access conditions.
  • Status and document choice: After all grades and course requirements are complete, the system may show completion or another status instead of “studying”; final graduation and degree information may not appear fully until the ceremony. After the ceremony, Study Proof and IOC/IO4 may have similar uses. Choose Study Proof for current enrollment and LC for broader course/project facts, allowing more processing time for LC.
  • Damage or loss: Replacing a damaged or lost award certificate costs HK$500. Bring proof of damage/loss; for damage, also bring the remains and complete the paper application at the counter.

Application and collection points

  • Study Proof / Testimonial: CityU defines a Testimonial as a standard report certifying a student’s record of study, including study status. Use the formal system label Testimonial.
  • Responsible office: ARRO handles Bachelor’s Degree/Associate Degree students. Master’s, Professional Doctorate, and Research Degree students should use the Chow Yei Ching School of Graduate Studies (SGS). Select the office for the study level before applying. ARRO Student Services, SGS Transcript, and SGS Testimonial.
  • Channel clarification: Use the paper counter form for same-day preparation/collection; when same-day service is not needed, choose AIMS, post, or the counter according to the current page.
  • Transcript—application and collection: ARRO/SGS accept the applicable AIMS, paper-counter, or postal route; a paper application requires the completed form and original fee receipt. At ARRO, in-person Transcript, Testimonial, or Certified True Copy applications are normally collected the same day; postal applications usually take 7 working days. Online applications issue a request number/status email, with mailing preparation taking about 3–5 working days depending on the document. SGS Transcript applications usually take 7 working days online or by post, while in-person applications are normally same-day. Fees include HK$40 per AIMS copy, HK$60 per paper copy, SGS Testimonial at HK$60 per copy, and Letter of Certification at HK$40 per online copy or HK$60 per paper copy; registered-post charges extra. Verify amount on the payment page at submission. Self-collection requires the student card/HKID/passport and application email; proxy collection requires the proxy ID, a copy of the applicant’s student card/HKID/passport annotated with student number and programme code, and the AIMS authorization notice or signed authorization letter. Request sealing or third-party attachments during application; they cannot be added after collection.
  • Study Proof / Testimonial—application and collection: Use the correct ARRO or SGS route through AIMS, paper, or post. If WES upload assistance is needed, use the paper application and state it on the form. Keep the AIMS request number, successful-submission page, and status. Collect at the counter, Smart Locker, download electronically, or by post according to the notice; a proxy uses the same ID and authorization set as for a Transcript. SGS authorization instructions.
  • LC (Letter of Certification)—application and collection: LC is not the ordinary enrollment-record substitute. SGS certification letters may be requested through AIMS, at the counter, or by post and are normally ready for collection, download, or mailing within 7 working days. Current-term graduates must wait until all grades are released; award classification is available only after the Dean’s decision, while an earlier letter can certify fulfillment of programme requirements only. For student-visa extension, submit the form with the latest student visa, landing slip, and valid travel document/passport. For IANG after completion, use a Transcript once award classification has been released; use a Testimonial for a standard study record. Self collection, proxy collection, download, and post all follow the notice. SGS Smart Locker is only for a certification letter selected after its confirmation email: request it within 48 hours, collect within the approximately two-calendar-day window, and use it during campus opening hours.
  • Formal graduation certificate / Award Certificate—application and collection: Award Certificates are normally ready in March, August, and November; the University emails the start date, time, and venue about one month in advance. Self collection requires the notification email and CityU Student Identity Card/HKID/passport. A proxy requires the email, applicant HKID/passport copy, AIMS authorization, and proxy HKID/passport. Registered-mail delivery is available through the official form and fee. Certificates not collected within the University’s stated period are disposed of; a later request requires a Replacement Award Certificate. Award Certificate collection is a separate process from an LC or Testimonial application; follow the official Award Certificate arrangement.
  • Certified True Copy—application and collection: Bring the original document, application form, and fee to the ARRO/SGS counter; laminated academic originals are not accepted. To certify a Transcript, first apply for and obtain the newly printed Transcript in person at ARRO, then have it certified immediately. A proxy brings the certification form, signed authorization letter, applicant student-card/HKID/passport copy, and proxy HKID/passport. The current paper fee is HK$40.
  • Replacement Award Certificate—application and collection: Graduates only may apply, and only one certificate (including a replacement) may be retained for each qualification. Reasons include permanent loss/damage, legal name change, or failure to collect within the prescribed period. Complete the replacement form, then choose self collection, proxy collection, or registered mail; the current fee is HK$500. Self collection requires HKID/passport; a proxy brings the applicant ID copy, AIMS authorization or printed authorization letter, and proxy ID; postal delivery uses the form and payment instructions.
  • Electronic proof—application and collection: Eligible graduates can use e-Certification through Student Record/Alumni Services → e-Certification for Graduates in AIMS. ACVP/e-Certificate can generate a URL, QR code, or PDF for third-party verification, usually in the March, August, and November batches. This electronic verification service is separate from collecting a paper Transcript, Testimonial, or Award Certificate; choose the format required by the recipient.
